Zapier Overview: Trigger and Action, Start from Templates, and Filters, Formatter and Multi-Step Zaps

Karan Rana Brand/marketing manager, YouTuber, podcaster and course creator ("a non-tech guy"); presents the AI for Marketing, NotebookLM and Manus tool guides

The short version

  1. Zapier automates "if this then that" chores that cost him about 20 minutes a day - his first zap saves emailed thumbnails into a Drive folder (0:00-0:04).
  2. Start from a template: Discover > Apps > filter by use case; "share RSS feed on LinkedIn" drops four steps (RSS, Formatter, ChatGPT, LinkedIn) onto the canvas to connect (0:04-0:10).
  3. Trigger = when this happens; action = do that; Filters, Formatter, Schedules and multi-step zaps extend it (0:10-0:15).

At a glance, three clicks deep

01

Start from a template, not a blank zap

how-to

From a blank slate "you will flounder, you will fight with these fields called action event."

Discover > Apps, filter by marketing campaigns or sales, open "share RSS feed on LinkedIn", click Try it: RSS by Zapier, Formatter by Zapier (e.g. split "Karan Rana" into first and last name), ChatGPT (rewrite into a LinkedIn-style post) and LinkedIn (create an update). Supply the RSS URL and connect ChatGPT and LinkedIn, then test and activate.

Do it in this order
Why it matters

The fastest way for a non-technical user to get a first zap running.

02

Filters, Formatter, schedules and multi-step zaps

A 2 a.m. form fill: welcome email, CRM entry and a Slack alert - while you sleep.

Examples (explained, not built): customer onboarding (CRM, email, Slack), a creator workflow (YouTube upload to LinkedIn with a custom caption, logged to Sheets, Discord notice), a social manager's cross-posting with per-platform formatting and a weekly digest. "If you can set up a Facebook account, you can master Zapier."

Why it matters

Shows how far simple building blocks go.
